The terms that govern your quotation, booking and trip with BookMyCaravan. Please read them before you confirm a booking.

These Terms & Conditions govern your enquiry, quotation, booking and trip with BookMyCaravan. Please read them before you confirm a booking. By paying any advance, or by accepting a trip booking voucher issued by us, you accept these Terms on behalf of yourself and every person travelling under your booking.

1. Who We Are and What These Terms Cover

  • This website, bookmycaravan.in, is operated under the name BookMyCaravan, having its principal place of business at 508 Sharan Circle Business Hub, Near Zundal Circle, Ahmedabad 382424, Gujarat, India (“BookMyCaravan”, “we”, “us”, “our”).
  • BookMyCaravan is a travel service facilitator. Caravans listed on this website are supplied either by us or by independent operators who have contracted with us. We arrange, coordinate and support your booking.
  • These Terms apply to every enquiry, quotation, booking and trip arranged through BookMyCaravan, whether made through this website, WhatsApp, telephone, email or in person.
  • By paying any advance, or by accepting a trip booking voucher issued by us, you confirm that you have read and accepted these Terms on behalf of yourself and every person travelling under your booking.

2. Definitions Used in These Terms

  • Operator means the owner or operator of the caravan supplied for your trip.
  • Caravan means the vehicle allotted to your booking, including motorhomes, campervans and luxury seaters.
  • Guest means the person who makes the booking and every person travelling under it.
  • Quotation means the written quotation issued by us setting out the rate, inclusions, minimum usage, security deposit and additional charges.
  • Voucher means the written trip booking voucher issued by us confirming your trip.
  • Rental Day has the meaning given in clause 7.
  • Base means the garage or parking base from which the caravan operates and to which it returns at the end of a trip.
  • Handover means the point at which the caravan is presented to you at the pickup point and you and your party embark it. Handover is the point at which the joint condition check is completed, the opening odometer reading is recorded and the trip begins.
  • Release means the point at which the trip ends and you and your party disembark with your belongings. Release is the point at which the closing odometer reading and the return condition check are recorded.

3. Quotations and Booking Confirmation

  • Rates in a quotation are valid for the period stated on it and remain subject to caravan availability at the time of confirmation.
  • Prices shown on this website are indicative. Your applicable rate is the one stated in your written quotation.
  • A booking is confirmed only when the advance payment has been received and we have issued a trip booking voucher. Holding a date, a verbal assurance or a WhatsApp message does not create a confirmed booking.
  • The voucher records the caravan, dates, pickup point, route, passenger count and driver. Please check it on receipt and tell us within 24 hours if anything is incorrect.
  • Where your quotation states something different from these Terms, the quotation prevails for that booking. We sometimes arrange conditions outside our normal terms, depending on availability, a specific request, or a special permission obtained for a trip. Any such variation is valid only where it is written into your quotation, and it applies to that booking alone.

4. Payment Terms

  • 50% of the trip value is payable as advance at the time of booking. The remaining 50% is payable at least 24 hours before departure.
  • Some bookings, including peak season, long duration, one way and reseller bookings, may require full payment in advance. This will be stated in your quotation.
  • Payments are accepted by UPI, bank transfer or the official BookMyCaravan payment link. Cash is not accepted.
  • We may decline Handover, meaning we may decline to allow you and your party to embark the caravan, where the balance or the security deposit is unpaid at the scheduled departure time. The booking is then treated as a no show under clause 19.
  • All amounts are payable in full without deduction or set off.

5. Security Deposit

  • A refundable security deposit is payable before Handover. The amount varies by caravan and by trip and is stated in your quotation and on your voucher. It is not a single fixed figure across the fleet.
  • The deposit is refunded after trip completion, less any amount properly due under clause 17.
  • Refunds are made to the original payment method, subject to banking cycles. We aim to refund within 7 working days of trip completion, or within 7 working days of settlement where a deduction is disputed.
  • Where a deduction is made, we will share the basis for it in writing.

6. Taxes, Tolls and Additional Charges

  • GST is charged in addition to the quoted rate, at the rate applicable on the date of invoice.
  • Unless your quotation states otherwise, the following are excluded and are charged at actuals: interstate permits, state and entry taxes, tolls, parking, driver night halt allowance, generator running charges, monument or park entry fees, and any charge levied by a campsite or property.
  • The driver night halt allowance covers the driver staying away overnight. It is a separate charge from the night charge in clause 7, which applies where the caravan does not reach the Base by 10:00 PM. Both may apply to the same trip.
  • Where your quotation states dry rental, fuel, tolls, parking and taxes are borne by you.
  • Generator use and any similar metered facility is charged at the rate stated in your quotation.
  • Additional charges incurred during a trip are payable before the caravan is released at the end of the trip, or may be deducted from the security deposit.

7. The Rental Day and Trip Timings

  • A Rental Day runs from 6:00 AM to 10:00 PM on the same calendar date, unless your quotation states otherwise. Overnight occupancy of a parked caravan, where your quotation includes it, does not extend the Rental Day.
  • The trip ends when the caravan returns to the Base, not when you disembark. Where the caravan does not reach the Base by 10:00 PM, a night charge applies at the rate stated in your quotation. Where the caravan reaches the Base by 10:00 PM, no night charge applies.
  • For example, if you finish travelling at 9:00 PM at a point that is 2 hours from the Base, the trip end time is 11:00 PM and a night charge applies. Please allow for the return journey to the Base when planning your final day.
  • You must allow the driver a minimum of 8 hours of continuous rest in every 24 hour period.
  • Driving is limited to 400 km to 500 km per Rental Day, depending on the route and the caravan. Distance beyond that is permitted only where we have agreed it in writing in your quotation.
  • Where the caravan is retained beyond the end time stated on your voucher, an extension charge applies at the rate in your quotation, or at our standard extension rate where none is stated. Part of an hour is charged as a full hour.
  • Departure and arrival timings are estimates. Traffic, weather, road closures, permit checks and mandatory driver rest may alter them, and no compensation is due for such variation.

8. Distance Measurement and Minimum Usage

  • Where your booking is charged per kilometre, distance is measured on the caravan’s odometer from the point the caravan leaves the Base until it returns to the Base (garage to garage), unless your quotation specifies a different start point.
  • The minimum usage stated in your quotation applies whether or not you travel that distance. Minimums are typically 250 km to 300 km per day depending on the caravan and route.
  • Distance above the minimum is charged at the per kilometre rate in your quotation. Diversions and additional pickups requested by you are chargeable.
  • Opening and closing odometer readings are recorded and shared with you. Any dispute about distance must be raised before the caravan is released at the end of the trip. We cannot verify a distance dispute raised after the caravan has left.

9. Passenger Capacity and Luggage

  • Each caravan has a stated seating capacity and a stated sleeping capacity. Both are hard limits fixed by the vehicle’s registration and its build. They are not a guideline.
  • Children and infants of any age count towards seating capacity.
  • The driver may decline to depart, or may halt the trip, where the number of persons exceeds the stated capacity. No refund is due where a trip is declined or halted for this reason, and any resulting cost is payable by you.
  • Luggage must fit the space provided and must not obstruct the aisle, the driver’s view or any emergency exit.
  • The caravan is not a left luggage facility. Belongings left in the caravan or handed to the driver are at your own risk. We will make reasonable efforts to trace an item reported to us within 48 hours of Release. Where an item is traced, return of it is chargeable at actual cost, or you may make your own arrangements to collect it. We accept no liability for loss.

10. Chauffeur and Driving Policy

  • All caravans are chauffeur driven. Self drive is not offered in any circumstance.
  • The driver supplied with the caravan is in sole charge of the vehicle. Decisions on route safety, road condition, halting point and speed rest with the driver.
  • Drivers are subject to statutory driving hour and rest limits, and to the rest period and daily distance limits set out in clause 7. A driver is not required to drive continuously through the night.
  • No guest may drive the caravan, and no guest may ask the driver to permit them to drive it.
  • The driver is not a guide, cook or attendant unless your quotation says so.
  • Abuse, threat or intimidation of a driver is a serious breach of these Terms and entitles us to terminate the trip under clause 11.

11. Guest Conduct and Prohibited Use

  • The caravan may be used for lawful travel and stay only.
  • Prohibited at all times: illegal substances, prohibited or hazardous goods, smoking inside the caravan, and any activity that is unlawful or that endangers the vehicle, the driver or other road users.
  • Alcohol is permitted only where lawful in the state you are in, only while the caravan is stationary and parked, and never in a manner that distracts the driver. Gujarat, Bihar, Nagaland, Mizoram and Lakshadweep prohibit it entirely, and compliance is your responsibility.
  • Pets are permitted only where your quotation confirms it.
  • We may terminate a trip immediately, at the location then reached, in case of serious misconduct, unlawful activity, exceeding capacity, or a threat to the safety of the driver or the vehicle. No refund is due and return travel is at your cost.

12. Routes, Terrain and Permit Restrictions

  • The caravan may be used only on roads suitable for its size and weight. Off road use, beaches, riverbeds, unmetalled tracks and forest trails are not permitted.
  • Caravans are large vehicles. Narrow lanes, low bridges, height barriers, weight restricted roads, steep ghat sections and hill hairpins may make a destination unreachable. Where a destination cannot be safely reached, the driver will halt at the nearest safe point, and onward travel from that point is arranged by you at your own cost.
  • Restricted, prohibited, border and permit controlled areas are excluded unless permits are obtained in advance and are recorded in your quotation.
  • Route changes during a trip are subject to the driver’s agreement, permit availability and additional charges.
  • You are responsible for fines and penalties arising from your instructions, your conduct or overloading.

13. Onboard Facilities and Their Use

  • Facilities such as washroom, water, air conditioning, generator, refrigerator, kitchen and entertainment are provided in the specification stated for that caravan.
  • Certain facilities may be used only while the caravan is stationary and parked. These include cooking and any use of gas, the kitchen, camping gear, awnings, steps, outdoor furniture and any equipment set up outside the caravan. They must not be used while the caravan is in motion.
  • Use of gas or any open flame while the caravan is in motion is prohibited without exception. The driver’s instruction on what may be used, and when, is final.
  • Water and waste tanks have finite capacity. Refilling and waste disposal depend on authorised points being available on your route.
  • Air conditioning while stationary generally requires the generator or shore power, and is charged where your quotation says so.
  • The washroom is for its intended use only. Sanitary items, wipes and solid waste must not be flushed. Blockage caused by misuse is chargeable at actual cost.
  • Fittings must not be modified or removed.

14. Vehicle Condition, Photographs and Substitution

  • Caravans are cleaned, detailed and styled before a photography session, and images may be taken in favourable light and location. A photograph shows the caravan at its best, and is not a representation of its appearance on any particular day.
  • Your quotation carries a link to the listing page for the caravan allotted to you. Please open that link and check it before you confirm, so that you are booking the caravan you have seen.
  • We do not commit to substituting a caravan. Where the caravan booked becomes unavailable because of breakdown, accident, statutory detention, driver unavailability or any similar cause, we will make reasonable efforts to identify an alternative. Availability of an alternative is not guaranteed, and in remote locations there may be none.
  • Any alternative arrangement, including any adjustment to charges, is discussed with you and agreed in writing at the time. Where the trip has not started, clause 19 applies. Where the trip is under way, clause 15 applies. Any dispute arising is subject to clause 30.
  • A joint condition check is carried out at handover and at return. Please record any pre existing damage at handover.

15. Breakdown, Mechanical Failure and Roadside Support

  • Roadside support is provided for mechanical failure not caused by misuse.
  • Where a fault can be rectified within a reasonable time, the trip continues and no refund is due for time lost.
  • We do not guarantee that a replacement caravan can be arranged. Availability of an alternative depends on the location, and in remote locations there may be none.
  • Where a fault cannot be rectified and no alternative is available, we will agree with you in writing how the balance of the trip is to be treated, including any adjustment to charges for the portion not completed.
  • We are not liable for onward costs arising from a breakdown, including hotel bookings, event tickets, flights, missed destinations and lost holiday time. Clause 21 applies.
  • Where a breakdown is caused by misuse, overloading, prohibited terrain or guest interference with the vehicle, recovery and repair costs are payable by the Guest.

16. Delays, Force Majeure and Government Action

  • We are not liable for delay or failure to perform caused by events beyond reasonable control, including acts of God, flood, earthquake, landslide, cyclone and extreme weather, fire, epidemic and pandemic, war, riot, civil unrest, curfew and bandh, strikes, road closure and traffic restriction, government order, permit refusal, checkpoint detention and police action, and failure of a third party supplier.
  • Where a trip cannot start or continue for such a reason, we will offer, at our discretion, a rescheduled trip subject to availability, or a refund of the unused portion after deduction of costs already committed to the operator.

17. Damage, Loss and Recovery of Costs

  • You are responsible for damage to the caravan, its fittings, interiors and facilities caused by you or by any person travelling under your booking, other than fair wear and tear.
  • Chargeable at actual cost: repair or replacement of damaged fittings, deep cleaning where the caravan is returned in an unreasonable condition including spillage, vomit or pet soiling, washroom blockage, loss of keys, remotes or accessories, and recovery of the caravan from unsuitable terrain.
  • Traffic challans and penalties issued for the trip period are payable by you, including those received after the trip has ended.
  • Amounts due are deducted from the security deposit first. Where the deposit is insufficient, the balance is invoiced and payable within 7 days.
  • Damage is assessed on the operator’s repair estimate or invoice, a copy of which is shared with you.

18. Insurance

  • Every caravan carries motor insurance as required by law. Cover is subject to the terms, exclusions and deductibles of the policy.
  • Insurance does not cover your personal belongings, your medical costs, trip cancellation or trip interruption.
  • We recommend that you take personal travel insurance. That is your decision and your cost.
  • Insurance does not respond where a loss arises from unlawful use, overloading, prohibited terrain or breach of these Terms. Those costs are recoverable from you under clause 17.

19. Cancellation, Rescheduling and No Show

  • Cancellations and rescheduling are governed by our Cancellation & Refund Policy, which forms part of these Terms and is published at bookmycaravan.in/cancellation-refund-policy/.
  • Failure to present yourself at the pickup point within 2 hours of the confirmed departure time, without notice to us, is a no show. No refund is due for a no show.
  • Where you end a trip early, no refund is due for the unused portion.
  • Where we or the operator cancel a confirmed booking for a reason within our control, you may choose a rescheduled trip subject to availability, or a full refund of amounts paid for that booking. Clause 21 limits any further claim.

20. Complaints and the Reporting Window

  • If anything about the caravan, the driver or the service is not as booked, tell us during the trip on +91 968 768 0400 or at info@bookmycaravan.in so that we can attempt to put it right while you are still travelling.
  • Defects reported during a trip will be addressed where reasonably possible, by repair, by replacement of the caravan, or by a proportionate adjustment.
  • A complaint about the condition of the caravan or the conduct of the driver must be raised during the trip, and in any event in writing within 2 days of Release. We cannot verify a complaint raised after that period and no adjustment will be made.
  • Disputes about distance, timings or additional charges must be raised before the caravan is released, as set out in clause 8.

21. Role of BookMyCaravan and Limitation of Liability

  • BookMyCaravan acts as a travel service facilitator and, for caravans supplied by independent operators, as an intermediary between you and the operator.
  • To the maximum extent permitted by law, our total liability in connection with a booking, whether in contract, tort or otherwise, is limited to the total amount you have paid to us for that booking.
  • We are not liable for indirect or consequential loss, including loss of enjoyment, loss of profit, missed events, forfeited hotel, flight or ticket bookings, and the cost of alternative travel or accommodation.
  • Nothing in these Terms excludes or limits liability that cannot be excluded or limited by law, including liability for death or personal injury caused by negligence, for fraud, or under the Consumer Protection Act, 2019.

22. Indemnity by the Guest

  • You agree to indemnify and hold harmless BookMyCaravan, the operator and the driver against any claim, loss, fine, penalty, cost and legal expense arising from your breach of these Terms, unlawful or prohibited use of the caravan, exceeding the stated capacity, the conduct of any person travelling under your booking, and any third party claim connected with your trip.

23. Travel Agent, Corporate and Reseller Bookings

  • Where a booking is made by a travel agent, tour operator, corporate or other reseller, that booker contracts with us as principal and is liable for payment in full, whether or not it has been paid by its own customer.
  • The booker must pass these Terms to the travelling guests and is responsible for their compliance, including capacity, conduct and damage.
  • The booker is responsible for the accuracy of guest names, contact numbers, passenger counts and itinerary supplied to us.
  • Rates quoted to a booker are confidential and apply to that booking only.

24. Operator Listings and Partner Obligations

  • Caravans on this website are listed either as our own or on behalf of independent operators contracted to us.
  • Operators warrant that each caravan is validly registered and holds valid fitness, permit, insurance and PUC, complies with the Motor Vehicles Act, 1988 and the rules made under it, and that any structural conversion carries the approvals required for its registration.
  • Commercial terms between BookMyCaravan and an operator are governed by a separate written partner agreement and do not form part of these Terms.
  • Listing a caravan does not transfer its ownership or control to us.
  • We may withdraw a listing, or decline to allot a caravan, where an operator does not meet our service or compliance standards.

25. Photography, Media and Reviews

  • We may photograph or film the caravan before and after your trip as a condition record.
  • We may use images of our caravans and of trips for marketing. Where an image identifies you or a member of your party we will use it only with your consent, which you may withdraw in writing.
  • Reviews and testimonials you give us may be published with your first name and city.

26. Personal Data

  • Personal data is collected and processed in accordance with our Privacy Policy at bookmycaravan.in/privacy-policy/, which forms part of these Terms.
  • Government issued identification is collected before handover for identity verification and lawful compliance, and is shared with the operator supplying the caravan for that purpose only.

27. Intellectual Property and Website Content

  • All content on this website, including text, photographs, video, layout, logos and the BookMyCaravan name and marks, is owned by or licensed to us and may not be copied, reproduced or used without written permission.
  • We take care to keep rates, availability and specifications accurate but do not warrant that the website is free of error. Website content is an invitation to enquire and is not an offer capable of acceptance.

28. Changes to These Terms

  • We may update these Terms at any time by publishing a revised version on this page. The version applying to your booking is the version published on this page on the date your booking is confirmed.

29. Grievance Redressal

  • Grievance Officer, BookMyCaravan, 508 Sharan Circle Business Hub, Near Zundal Circle, Ahmedabad 382424, Gujarat, India. Email info@bookmycaravan.in, telephone +91 968 768 0400.
  • We will acknowledge a grievance within 48 hours of receipt and endeavour to resolve it within 30 days.
  • The Grievance Officer is appointed in accordance with the Consumer Protection (E-Commerce) Rules, 2020 and the Information Technology Act, 2000.

30. Governing Law and Jurisdiction

  • These Terms, and any quotation, booking, voucher or dispute arising from them, are governed by and construed in accordance with the laws of India.
  • If a dispute arises, please raise it with us first under clauses 20 and 29 so that we can attempt to resolve it directly.
  • Any dispute not resolved that way is subject to the exclusive jurisdiction of the competent courts at Ahmedabad, Gujarat, India, and you and we submit to that jurisdiction.
  • This applies regardless of where the caravan was supplied, where the trip took place, or where you reside.
  • Nothing in this clause limits any right available to you under the Consumer Protection Act, 2019, including your right to approach the consumer commission having jurisdiction where you reside.

31. General Provisions

  • Entire agreement. These Terms, together with your quotation, your voucher, the Cancellation & Refund Policy and the Privacy Policy, form the entire agreement between us, and supersede any earlier discussion, WhatsApp exchange or verbal assurance.
  • Order of precedence. Where there is a conflict, your voucher prevails over your quotation, and your quotation prevails over these Terms, as set out in clause 3. These Terms prevail over all other material.
  • Severability. If any clause is held invalid or unenforceable, the remaining clauses continue in full force.
  • No waiver. A failure or delay by us in enforcing any clause is not a waiver of it.
  • Assignment. You may not assign or transfer your booking without our written consent.
  • Third parties. Operators and drivers may rely on the clauses of these Terms that are expressed to protect them.
  • Language. These Terms are issued in English, and the English version prevails over any translation.

32. Final Acknowledgement

By booking with BookMyCaravan you confirm that you have read and accepted these Terms, that you have authority to accept them for every person travelling under your booking, that you understand the size and practical limits of caravan travel, and that you will follow the safety and usage guidance given by us and by the driver.
